The GENYOUth team is looking for an energetic self-starter to provide administrative and operational support to Program, Development, and Management teams, such that teams can elevate performance, and accelerate output and results. Will assist the Program team with day-to-day operations and communications of GENYOUth programs with key stakeholders by working directly with the Director of Programs and Partnerships. Will assist the Development team by organizing and managing projects from conception to completion to ensure that projects are completed in a timely manner and within budget. Help coordinate with gala project completion, budgets, post event reports and all details related to GENYOUth events by working directly with the Director of Development, and Senior Director of Special Events.

Accountabilities & Activities:

  1. Program Support (40%)
    1. Work with State/Regional (SR) Organizations, NFL Clubs, MMS Education and SHAPE America to secure school information (shipping and contact) and available dates for in-person PE trainings
    2. Work with Communications team to prepare and deploy media alerts, press releases, editorials and social media posts
    3. Coordinate Kit shipping list and share with NFL FLAG Fulfillment Center, providing tracking details via e-mail to recipients
    4. Co-create with NFL and deploy yearly qualitative and quantitative surveys, summarize findings and share with all parties
    5. Attend and co-host trainings with SR; make introductory remarks, promoting GENYOUth, FUTP 60 and NFL FLAG-In-Schools
  2. Development/Administrative Support (40%)
    1. Conduct preliminary research on prospective corporate CSR and individual donors for the purpose of identifying and development strategic partnerships and underwriter opportunities that will further support and complement both the mission and advancement of GENYOUth
      1. Research philanthropic priorities
      2. Become an iWave expert
      3. Learn how to use Foundation Center
    2. Revenue Processing – Work with finance and program staff to gather information necessary to report to government, corporate and foundation funders on current grant programs
      1. Confirming Pledge
      2. Invoicing
      3. Follow-up on outstanding pledges
      4. Managing up on Relationship Manager on thank you notes
      5. Maintain accurate accounting records for GENYOUth Office and reports in a timely manner
    3. Managing Development Trackers
      1. Create monthly fundraising reports and other database reports as needed. (MM Tracker)
      2. Continually update and correct database records (Contact Tracker)
      3. Gala Honoree
      4. GY Board Prospect
  3. Gala and Special Events (20%)
    1. Oversee spreadsheets, hotel and registration data, sampling event/product shipment, and materials for meetings and events internally and externally
    2. Follow up on progress and completion of ad-hoc requests
    3. Correspondence with external contacts (primarily scheduling and meeting follow-up)
    4. Demonstrates friendly, knowledgeable and represent our foundation professionally
    5. Customer experience (special events)
    6. Assist GENYOUth clients/gala attendees/sponsors on their individual needs and interests as it relates to execution of the GENYOUth Gala and other GENYOUth events.
    7. Assist with special event follow-up communications (e-mails, letters, gifts, etc.)

Minimum Qualifications:

Education & Experience

  • Bachelor’s Degree Business, Communications, Marketing or related field preferred
  • Related experience in special events or related field
  • Related experience (preferably with at least 2 years working as an Executive/Personal Assistant within an office environment)
  • Excellent skills in Microsoft Office 2007 programs
  • Must be willing to travel
